Kollab
Docs
Kollab connects you with brands who want to run sponsored campaigns. You control which brands you work with, and all compensation is tracked in one place.
As a creator, your Kollab workspace lets you manage brand proposals, view active and past campaigns, track your compensation per month, and collaborate on briefs and files, without back-and-forth email.
The core flow is: Add your socials → Discovery → Match → Campaign → Compensation. You see brands in Discovery and react first. When you like a brand, they see your interest and decide. Once both sides have liked, a match is created and the brand can start a campaign from there.
Open the sign-up page
Go to joinkollab.com/signup. Any email works for creator accounts. Continue with Google or with a magic link sent to your inbox. No password is required.
Enter your name and choose Creator
Pick Creator as your account type. Kollab creates your creator profile right away.
Connect your Instagram
You go straight to the Instagram connect step. Logging in only confirms you own the account you want to represent; Kollab never gets access to post, comment, or change anything, it only reads your public stats. We then import your public profile data and key stats automatically.
Accept the terms and finish
Confirm you accept the terms and privacy policy. Once your profile is complete, you start appearing to brands in Discovery.
Joining via a talent management
If you're represented by a talent management already on Kollab, they can add you to their roster by searching for your Instagram handle. Once linked, they can react to brands in Discovery and propose you to brands on your behalf.
Your creator profile is what brands see when they review your interest. A complete profile with real social stats increases the chances they accept.
Open your profile from the Home dashboard. The key fields are:
Your creator name or handle.
Pulled automatically from Instagram when you connect your account, or upload manually.
A short bio: your niche, content style, and what you look for in brand partnerships.
Connected platforms (Instagram, TikTok, YouTube, etc.). Brands see your follower counts and engagement here.
The Home page is your at-a-glance overview of your Kollab activity and current-month performance.
Navigate to Home in the sidebar. The top of the page shows your creator profile (name and avatar). Below that, a performance card summarises your current month:
Gross Shopify revenue attributed to your discount codes this month across all live campaigns.
Your total earnings this month: sum of fixed fees plus variable compensation from Shopify sales.
Total sales divided by your compensation — a measure of the return brands get from your campaigns.
For a per-campaign breakdown, open a campaign and go to the Performance tab.
You can be self-managed, work with a talent management, or both. Here is what that means for your account and your campaigns.
A talent management can add you to their roster and run campaigns on your behalf, and they can do this even if you never created a Kollab account. You do not have to do anything special for them to manage you. You can still sign up yourself at any time to see everything directly.
You can also work with more than one management at once. Whatever the setup, your Campaigns list always shows every one of your campaigns, across all the managements you work with, in one place. Each management only sees the campaigns it runs for you, not the others, so your full picture is always yours alone.
When a management proposes you to a brand, that proposal is theirs to handle. It does not show in your Discovery, and you cannot like or pass it. Contact your management if you have questions.
Your management is not on Kollab yet?
Ask them to sign up. It is the normal management sign-up (a company email is required). Once they are in, they add you to their roster and can manage campaigns for you. See Create your account for how joining via a management works.
To add Instagram you log in with your Instagram account. This confirms you own the profile before Kollab pulls your public stats.
Open your creator profile
From the Home dashboard, click your name to open your creator profile.
Click Add social network
Select Instagram as the platform.
Log in with Instagram
You will be prompted to authenticate with your Instagram account. This verifies you own the profile before it is linked to your Kollab account.
Stats load automatically
Once confirmed, Kollab scrapes your public profile and latest reels. Your followers, average views, and average engagement are saved within a few seconds.
Why we ask you to log in with Instagram
Connecting Instagram exists for one reason: to confirm that you actually own the account you want to represent on Kollab. Logging in proves the profile is really yours, so brands can trust that every creator they see is genuine.
Kollab will never post, comment, message, or change anything on your account, and never asks for any writing access, ever. The login only confirms access and lets us read your public stats.
What is scraped
Kollab reads your public follower count and analyses your most recent 16 reels to calculate average views and average engagement. Only public data is used. Private accounts are not supported.
Three metrics are displayed on your profile and shown to brands in Discovery.
Followers
Total follower count on that platform at the time of the last scrape.
Avg views
Average view count across your most recent reels. Updated each time you refresh your stats.
Likes per reel
Median likes across your recent reels, so a single viral post doesn't skew it. Used as a proxy for content quality.
You can refresh your stats at any time from your creator profile. Kollab will re-scrape your latest public data from Instagram.
Stats also refresh on their own
You rarely need to do this manually. Whenever someone opens your profile and your stats are more than 24 hours old, Kollab re-scrapes your latest public data in the background. Brands browsing Discovery always see recent numbers without you doing anything.
Kollab shows you brand profiles that have been matched to you. You like or dislike first, and the brand then decides.
Navigate to Discovery in the sidebar. Each card shows a brand: their name, logo, description, and budget tier. These are brands that Kollab has curated as potential matches for you.
Cards are grouped by status: New (not yet reacted to), Liked (you expressed interest), and Disliked (you passed). You can undo a dislike at any time. You can also undo a like, but only while the brand has not reacted yet; once they have, the like is locked in.
You move first: like or dislike the brand. The brand then sees your interest and reacts. A match is created when both sides have liked.
Open a brand card in Discovery
Review the brand's description, website, and budget tier before deciding.
Like or dislike
Press Like to express interest. Before your like is sent, Kollab shows an optional prompt where you can write a short pitch explaining why you're a good fit for the brand. You can skip this. Press Dislike to pass.
The brand sees your interest and reacts
Your like appears in the brand's Discovery feed. They can accept or decline. You'll be notified of their decision.
A match is created when the brand accepts
Both parties receive a New Match notification. The match appears in your Matches tab.
The brand creates a campaign from the match
You'll be notified when a campaign is created and again when terms are confirmed.
Like button turned off?
You work with a brand either yourself or through one management. If your management already proposed you to the brand, or already works with the brand for you, you cannot also like the brand yourself. The button shows which management it is. That management handles the brand for you, so contact them if you have questions.
A match is a mutual expression of interest between you and a brand. It's created when both sides have liked each other.
Matches are listed under Matches in the sidebar. Each match shows the brand, your creator profile, and any talent management involved. If the brand has created a campaign from this match, it appears here too.
A match doesn't obligate you to run a campaign. It just means both parties have indicated interest. The brand takes the next step by creating a campaign and adding compensation terms.
Sometimes, a campaign may appear for a collaboration you already have with the brand outside of Kollab. This happens when a brand imports an existing partnership into Kollab. See Imported collaborations.
If a campaign appeared without you liking the brand or agreeing to anything, a brand you already work with brought your existing collaboration onto Kollab.
Brands can bring collaborations they already run with you onto Kollab, so the tracking and the payouts happen in one place instead of over email. When a brand does that, the campaign simply appears in your Campaigns list once you have an account and your Instagram is connected. There is nothing to accept: the brand is recording work you are already doing together.
These campaigns carry an Imported badge. Apart from the badge they work exactly like any other campaign, so everything else in this section applies to them.
Check the numbers
The months, fees, and percentages are what the brand entered. Only the brand can change them, so if anything does not match what you agreed, leave a comment on the campaign or contact them directly and ask them to correct it before the month is invoiced.
An import gives the brand nothing new about you. No like is recorded on your behalf, you are not added to their discovery feed, and it does not change how you appear to any other brand.
A campaign is the active working relationship between you and a brand. It tracks compensation, orders, files, and communication.
Navigate to Campaigns in the sidebar to see all your campaigns. Each campaign shows its status, brand, and the months it covers. Open a campaign to see its tabs:
Your codes (community discount code, community discount link, free products code), the shared comment thread, and a sidebar showing your monthly compensation rows.
Briefings, placements, brand assets, and legal documents shared by the brand.
Month-by-month breakdown of your fixed fee, variable %, clicks, and calculated earnings.
Shopify orders attributed to your discount code, broken down by month.
Your compensation per month is made up of a fixed fee plus an optional variable percentage of Shopify sales generated by your discount code.
The formula is: Fixed fee + (Brand's Shopify sales × Variable %)
Both figures are set by the brand. You can see your exact compensation for each month in the campaign's Performance tab. Shopify order data is pulled in automatically once the brand has connected their store and added your discount code.
Your discount code
Your unique discount code (e.g. SARA15) is shown in the campaign's Overview tab. Every time a customer checks out using this code, the sale is attributed to your campaign and counted toward your variable compensation.
How you actually receive this money depends on whether a management runs the campaign. If a talent management is on the campaign, they always invoice the brand. If not, you invoice the brand yourself, or let Kollab handle invoicing and payouts on your behalf for a 10% commission (see Let Kollab handle invoicing). The commission applies only when Kollab handles invoicing; the current rate is on the pricing page.
You can negotiate price and scope with the brand right in the campaign comments, or agree outside Kollab. The agreed number is always entered by the brand.
The campaign comment thread is the easiest place to agree price and scope, and we recommend it because it keeps a complete written trail on the campaign. You are also free to agree on a call or in person; only the final numbers need to land in the campaign.
What the agreed price must be
The price is entered by the brand as a net fee, excl. VAT and incl. any management fees (VAT may be added on top when it is invoiced). That exact figure is what gets invoiced to the brand: if a management runs your campaign they always invoice it, otherwise you invoice directly or Kollab does it on your behalf. It is also what the campaign analytics are based on.
Review the compensation the brand entered in the campaign. If anything does not match what you agreed, ask the brand to correct it: only the brand can edit it. The campaign comments are the best place to raise it and keep the trail.
Each campaign gives you a discount code and a community discount link. These are your main tools for attributing audience purchases to your campaign.
Community discount code
Your unique code (e.g. SARA15), shown in the campaign's Information tab. Share it in your content so your audience can use it at checkout. Every order placed with this code is attributed to your campaign and counted toward your variable compensation.
Community discount link
A tracking link auto-generated by Kollab that redirects to the brand's store. Share this in your bio or stories instead of the raw store URL. Every click is recorded automatically and shown in your monthly data.
Free products code
A code from the brand so you can order their products for free or at a discount to create content, if they provide one. Not counted in compensation.
Sometimes a campaign is archived before it starts. Here is what that means for you.
A brand can archive a draft campaign that never went live, for example when a collaboration does not come together. When that happens, you get a notification and the campaign moves out of your default campaign list into the Archived tab on the Campaigns page. Nothing is deleted, so its details, comments, and files stay available there.
Only the brand can archive or restore a campaign; you cannot. If the brand restores it, the campaign reappears in your normal lists automatically. If you think a campaign was archived by mistake, reach out to the brand.
You can invoice brands yourself, or let Kollab do the whole thing for you: invoicing, VAT, collection, and payout. This is optional and you can turn it off any time.
When Kollab handles invoicing, every month you have earnings Kollab creates the invoice to each brand on your behalf, applies the correct VAT, sends it, collects the payment, and pays you out to your bank account. In exchange Kollab keeps a 10% commission on your earnings. The current rate is on the pricing page.
To enable it, open Settings → Invoicing & Payouts and turn on Let Kollab handle invoicing. Two quick setup steps follow: your payout account and your tax details. Invoicing only goes live once both are done, so your campaigns cannot be billed until you finish them.
If a management runs your campaign
When a talent management manages a campaign, the management invoices the brand directly. Kollab invoicing does not apply to that campaign, even if you have it switched on.
In Settings → Invoicing & Payouts, click Set up payouts. This opens a secure hosted setup where you verify your details and add the bank account (IBAN) Kollab pays you to. You can come back and edit your payout information any time.
The step shows a status badge so you always know where you stand:
You have not started payout setup yet.
You started, but something is still missing or needs verifying.
Your payout account is ready. The tax details step is no longer locked.
The tax details step stays locked until your payout account is Done, because Kollab needs your verified details first.
Step 2 of two. Declare your VAT status so Kollab applies the correct VAT on the invoices it sends for you.
Once your payout account is ready, choose one of two options. There is no default: you must pick explicitly, so nobody is ever billed at 0% VAT by accident.
I am registered for VAT
Enter your VAT ID (e.g. DE123456789). Kollab adds your VAT to every invoice and pays it out to you, so you can remit it yourself.
I am a small business (no VAT)
For example Kleinunternehmer under §19 UStG in Germany, or the equivalent scheme in your country. Your invoices show 0% with the exemption note.
Save your choice and invoicing is active: Kollab can now bill brands for your campaigns. You can update your tax details later with Edit tax details.
Once invoicing is active, every billed campaign-month appears in your Payouts list with its status and downloadable invoices.
Find the Payouts list in Settings → Invoicing & Payouts. There is one card per campaign and month, each with a status badge:
Your earnings are recorded but not yet invoiced.
Kollab has sent the invoice to the brand.
The brand has paid the invoice.
The money has been transferred to your payout account.
Something went wrong with the payout. Contact support.
Each month gives you two PDF documents: Your invoice to brand (your gross compensation plus your VAT) and Kollab commission (the 10% commission plus VAT on it). Your net payout is what lands in your account:
Net payout = (gross + your VAT) - (commission + commission VAT)
Example: on 1,000.00 € of earnings with no VAT, the commission is 100.00 €, so your net payout is 900.00 €. The exact figures, with VAT, are shown on each card and in the PDFs.
The Notifications page collects every notification Kollab sends you in one place: matches, campaign updates, comments, and brand reactions.
Click Notifications in the sidebar to open your notification centre. Each notification is timestamped and linked to the relevant match, campaign, or comment. Unread notifications are highlighted.
You can mark individual notifications as read by clicking them, or clear all at once with Mark all as read. Notifications that are also sent by email (based on your Settings → Notifications preferences) are still stored here.
Kollab sends notifications for every key event. You can control which notifications are delivered by email and which appear only in the app.
Go to Settings → Notifications. Each notification type (new proposal, new match, new campaign, new comment, etc.) has two toggles: Email and In-app. Disable either channel for any type you don't need.
All notifications (including those sent by email) are also stored on the Notifications page (/app/notifications). You can mark individual notifications as read, or clear all with Mark all as read.
Kollab supports passwordless sign-in via passkeys (Face ID, Touch ID, hardware security keys). These are managed in Settings.
Go to Settings → Security. You'll see a list of registered passkeys (device name and registration date). To add a new passkey, click Add passkey and follow your device's biometric or security key prompt.
You can also sign in with Google or a magic link at any time. Passkeys are an additional option, not a requirement.
You can delete your account at any time. The deletion is scheduled, reversible until the date, and you can also ask us to erase everything we hold.
Open Account settings
Go to Settings and open the Account section.
Click Delete account
Type your email to confirm. Your account is then scheduled for deletion at the end of next month.
Cancel anytime before the date
You can undo the deletion until the scheduled date, and your account stays fully functional until then.
What is removed
Your login, sessions, and account data, together with your uploaded files and notifications. Invoicing and tax records are kept for as long as the law requires.
Your connected Instagram
Deleting your account revokes Kollab's access to Instagram: we remove the connection and the login tokens and stop collecting your stats. Your public creator profile may remain, for example if a management still represents you. Sign in with Instagram again and your existing profile and history are reassigned to you.
Want everything erased?
To have the remaining public profile data deleted as well, email dpo@joinkollab.com. We handle requests within a month. See our Privacy Policy for details.
Support is one tap away from anywhere in Kollab. A green WhatsApp button sits in the bottom-right corner of every page once you are signed in.
Use it for questions, feedback, or to report a bug. Opening it starts a WhatsApp chat that is already pre-filled with a bit of context (your name, account type, and the page you were on), so you do not have to explain your setup before getting an answer.
A real person reads every message
Your messages are answered by a real human, not a bot. Because a person picks them up, it can take a few minutes for a message to be seen and processed. The average wait is usually 15 to 30 minutes.
You can also browse these docs at any time for self-serve answers.
Comments & files
Use the Comments tab to communicate with the brand and talent management. Use Files to access your brief and upload content.
The comment thread is in the Information tab. It is shared between all parties (you, the brand, and the talent management if one is involved). You can post messages, reply to specific comments, mention someone to notify them directly, attach files, and react with emoji. A row of access avatars shows who can see the campaign, and everyone gets notified of new messages and mentions.
The Documents tab contains all files the brand has shared: campaign brief, brand assets, legal agreements, and placement guidelines. The brand can also upload files here during the campaign.
